Privacy Policy — zosimos.ca
Plain language, because that's how privacy should be. This policy covers this website. The ZOSIMOS Timesheet application has its own policy.
Zosimos Inc. (“Zosimos”, “we”) is a Calgary-based healthcare consulting and technology firm. We handle personal information in line with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and send email in line with Canada’s Anti-Spam Legislation (CASL). The person accountable for privacy at Zosimos can be reached at info@zosimos.ca or by mail: 5211 Macleod Trail SW, Ste 108 #80081, Calgary, AB T2H 0J3.
What we collect, and why
Site analytics. Our analytics are built in-house and are deliberately minimal: no cookies, no persistent identifiers, no advertising trackers, and no IP addresses are stored by our analytics. We record anonymous page journeys (which pages a visit read, for how long) to understand which content is useful. Your browser keeps only a first-seen week marker shared by thousands of visitors — it cannot identify you.
Contact form. When you contact us we store what you submit (name, email, message and any optional fields), your IP address (spam prevention), and the anonymous page journey of that visit, so we can respond and understand how people find us.
Readiness assessments. When you complete a readiness check we store your answers, scores, and the contact details you provide, together with the visit journey. We use this to email you the report you requested, to improve our services, and for internal market analysis. We only contact you afterwards if you expressly ticked the contact checkbox — declining it never affects your results. Assessment records without contact consent are de-identified on the schedule below.
Newsletter. Subscription is double opt-in (you must confirm by email) and every email we send includes a working unsubscribe link that takes effect immediately. If you unsubscribe, we keep your address on a suppression list solely so we never email you again. An optional exit question (“why did you leave?”) is used only to improve our emails.
How long we keep things
| Information | Kept for |
|---|---|
| Contact-form submissions (incl. IP address recorded for anti-abuse) | Until reviewed and deleted by us; you may request deletion at any time |
| Readiness-assessment responses where you opted into contact | Until the enquiry concludes or you request deletion |
| Readiness-assessment responses where you did NOT opt into contact | De-identified after 12 months (name, email, facility and visit details removed; province, facility type and scores kept as anonymous statistics) |
| Newsletter signups never confirmed (no double-opt-in click) | Deleted after 30 days |
| Unsubscribed newsletter addresses | Email + unsubscribe date kept as suppression evidence (so we never email you again); any free-text feedback removed after 12 months |
| Email delivery logs (which address a newsletter or report was sent to, and whether it succeeded) | Addresses redacted after 12 months (delivery counts kept as anonymous statistics); scrubbed immediately on a deletion request |
| Anonymous site analytics (page journeys — no cookies, no identifiers, no IP) | Up to 400 days, then removed |
Consent and unsubscribe records are retained for three years (the CASL limitation period) as evidence that we honoured your choices.
Your rights
You can ask what personal information we hold about you, ask us to correct it, or ask us to delete it — email info@zosimos.ca and we will respond within 30 days. Deletion requests are honoured except where we must keep a minimal record (e.g. your unsubscribe suppression entry, which exists to protect you).
Security
Data lives on our own Canadian-managed server with access restricted to Zosimos. This site enforces HTTPS, a strict content-security policy, and modern security headers throughout.
Changes
We’ll update this page when our practices change and adjust the date below. Last updated: July 12, 2026.
